AI Knowledge Brain

Every answer a hospital team needs already exists somewhere. We designed a way to find it in seconds, and prove where it came from.

(01)Context

Context

Healthcare organizations run on documents: clinical guidelines, policies, procedures, training material and compliance records. Healthea is a concept for a healthcare organization whose knowledge had outgrown the way it was stored.

(02)The challenge

The challenge

Policies lived in one repository, procedures in shared drives, training in department folders and compliance documents somewhere else. When staff couldn't find something, they asked a colleague. As the organization grew, that stopped working. The problem wasn't missing information; it was reaching the right, current version at the moment it mattered.

01

Scattered knowledge

Answers spread across many disconnected systems.

02

Slow searches

Finding one answer meant opening several long PDFs.

03

Inconsistent answers

Teams relied on outdated or conflicting versions.

04

Strict security

Any solution had to respect access rights, privacy and traceability.

(03)Our approach

Our approach

  1. 01

    Grounded, not guessed

Every answer comes from the organization's own approved documents, never the AI's general knowledge.

  2. 02

    Show the source

Each answer links to the exact document, section and version behind it.

  3. 03

    Security first

Staff only ever see answers built from documents they're allowed to access.

(04)What we built

What we built

01

Ask in plain English

Staff type the question they actually have, without needing document titles or folder paths.

02

Answers with citations

A short answer plus the source document, section, page and effective date.

03

Current version first

Document status and dates help prioritize approved, up-to-date policies over old ones.

04

Permission-aware search

Access rules are enforced by the system before the AI sees anything.

05

Always in sync

New, changed and deleted documents update the knowledge base automatically.

06

Feedback loop

Staff flag wrong or outdated answers, which surfaces gaps in the documentation itself.

(05)In practice

Before and after

“How should we respond when a medical device fails during operations?”

Before

Search a shared drive, open several procedures, work out which version is current, then ask a supervisor.

After

One question returns the approved procedure, its section and version, and a link to the original, plus a notice if the evidence is incomplete.

Stack

  • Python backend
  • An LLM chosen for groundedness and cost
  • An embedding model
  • A vector-capable search engine such as OpenSearch

(08)Designed to achieve

What it's designed to achieve

Less time searching across systems, faster access to the right procedure, consistent answers across departments, and visible gaps or conflicts in documentation. These benefits would be confirmed by measurement in a real deployment.

The system speeds up access to existing approved guidance. It does not replace clinical judgment or emergency protocols.
